FAQ: common business problems and how we solve them

The problems we hear about most, what usually causes them, and how we fix them. Plus straight answers about how we work and the questions business owners ask us every week.

Common problems and solutions

If one of these sounds familiar, you're in good company. Most businesses we talk to have two or three of them at once, and they're usually connected.

Our leads and customers live in five different places.

Why it happens: Contacts sit in a CRM, an inbox, a spreadsheet, the website form and someone's phone. Nobody has the full picture, so people ask the same questions twice and leads go cold.

How we fix it: We pick one home for customer data, move everything into it, remove the duplicates, and connect your forms, email and phone so new leads land there automatically.

CRM setup and migration

We pay for a CRM our team works around instead of in.

Why it happens: The CRM was set up once, years ago, around how the business used to run. Fields don't match the work, so the team keeps notes in spreadsheets and the CRM falls behind.

How we fix it: We sit down with the people who use it, rebuild the pipeline and fields around their actual day, automate the busywork, and train the team so the CRM saves time instead of costing it.

CRM cleanup and customization

Our website looks fine but the phone doesn't ring.

Why it happens: Usually the site isn't showing up for the searches customers use, it's slow on phones, or it doesn't give visitors a clear next step.

How we fix it: We fix the basics Google looks for, tighten the pages around what customers actually search, add clear calls to action, and connect the forms to your CRM so every inquiry gets followed up.

Website design and care

We know AI could help but don't trust it with our data yet.

Why it happens: That caution is healthy. Most AI horror stories come from tools given too much access with no rules about what they can see or change.

How we fix it: We start with one low-risk job, like drafting replies or summarizing calls, give the AI read-only access to just what it needs, and add human approval before anything goes out.

AI agents and MCP

Leads slip through the cracks and follow-up is slow.

Why it happens: Follow-up depends on someone remembering. When it gets busy, new inquiries wait a day or two, and by then they've called someone else.

How we fix it: We set up instant replies, task reminders and simple email and text sequences, so every new lead hears from you in minutes and nobody has to remember the next step.

Automation

We can't tell which marketing is actually working.

Why it happens: Ads, social posts and the website all report numbers, but none of them connect to which leads turned into paying customers.

How we fix it: We track where every lead comes from all the way to the sale, then build a simple dashboard and a short monthly summary in plain language.

Reporting

Our team types the same information in three times.

Why it happens: Quotes, invoices, scheduling and the CRM don't talk to each other, so someone copies data between them by hand and mistakes creep in.

How we fix it: We connect the tools you already have with Zapier or the platform's own automation, and write custom code only when it's truly needed.

Zapier and integrations

We miss calls after hours and on busy days.

Why it happens: Every missed call is a lead that might not call back. Hiring someone just to answer the phone often doesn't make sense yet.

How we fix it: We set up missed-call text-back, an AI phone assistant that answers common questions and books appointments, and a clean handoff to your team for anything it can't handle.

AI phone answering

We want to text customers but aren't sure what's allowed.

Why it happens: Business texting has real rules, and carriers now block messages from numbers that aren't registered.

How we fix it: We handle A2P 10DLC registration, set up proper opt-in and opt-out tracking, and build reminder and review-request texts that stay compliant.

About working with us

What we do, who you'll work with, and what to expect.

What does Art City Consulting do?

We help businesses get their marketing, CRM and AI tools working together. That covers websites, social media, email and text campaigns, CRM setup and cleanup for platforms like Zoho, HubSpot, Pipedrive and monday CRM, automation with Zapier, and AI agents that can safely work inside your systems. We start with the big picture and the business goal, then choose the tools.

Who will I actually work with?

One go-to person, from the first call through launch and after. Most of the work is done in-house. When a project needs a specialist, we bring in people we trust and manage them for you, so you still have one person to call.

Is the intro call really free?

Yes. The first call is free and there's no obligation. We talk through what's slowing you down, what you'd fix first, and whether we're a good fit. If we're not the right help, we'll say so and point you somewhere better.

What happens after the intro call?

You get a written quote in plain language: what we'll build, a realistic timeline and one fixed price. Nothing starts until you approve it, and you'll get regular updates once work begins.

How much does a project cost?

It depends on how many systems are involved, how much data needs to move or be cleaned up, and whether custom work is needed. Every project gets a fixed quote before work starts, and we also offer monthly support and hourly help. See how pricing works.

How long do projects take?

Most websites launch in one to four weeks. CRM, automation and AI projects usually run two to eight weeks. Timelines vary based on project scope and how quickly access and approvals come together.

Do you only work with Utah businesses?

No. We're based in Utah and work with businesses across the US. Almost everything happens over video calls and screen shares, and we're happy to meet in person with clients in Utah.

Do we own what you build?

Yes. Your accounts, your data and your website stay in your name, and software subscriptions are billed to you directly by the vendor. You also get documentation on how everything works, so you're never locked in.

What if we need something you don't do?

We'll tell you straight away. If someone else would serve you better, we'll make the introduction, and if it fits inside a bigger project, we'll bring in a trusted specialist and manage the work for you.

What business leaders ask us

The questions owners and managers bring to us most often.

Which CRM is right for our business?

It depends on your team size, budget, how you sell, and what you need it to connect to. Zoho is a strong value for businesses that want a lot in one place, HubSpot is great for marketing-heavy teams, and Pipedrive and monday CRM are simple and fast to adopt. We'll walk you through the tradeoffs and don't earn commissions for picking one over another. Compare CRMs.

Should we switch CRMs or fix the one we have?

Usually fix it first. Most CRM frustration comes from setup, not the software. If the platform truly can't do what you need, or costs far more than it should, then a migration makes sense, and we'll move your data cleanly.

Is it safe to connect AI to our business data?

It can be, with the right setup. We limit the AI to the data it needs, keep access read-only to start, log what it does, and require a person to approve anything that goes out to a customer. You decide how much it can do as trust builds.

What is MCP, and do we need it?

MCP (Model Context Protocol) is a standard way for AI assistants to connect to tools like your CRM, calendar or files. Many platforms, including Zoho and Zapier, already offer MCP options. Most businesses can start with those, and we can help you explore custom options if your size and needs call for it. More on AI and MCP.

Do we need a new website, or can ours be fixed?

Often it can be fixed. Faster load times, clearer pages, better search basics and working forms can make a big difference. If the site is hard to update or built on an old platform, a rebuild may cost less in the long run. We'll tell you which, honestly.

How do we show up in AI search like ChatGPT and Google's AI answers?

AI tools pull from clear, well-organized information about your business. That means accurate business listings, structured data on your site, pages that answer real customer questions, and steady reviews. It's the same groundwork that helps regular search. Showing up in AI search.

Can we legally text our customers?

Yes, with consent and a registered number. You need customers to opt in, an easy way to opt out, and A2P 10DLC registration with the carriers. We set all of that up so your messages get delivered.

We're a small business. Is this worth it for us?

Often it matters most for small teams, because every hour and every lead counts. We scope work to what fits your budget right now, starting with the fix that saves the most time or brings in the most business.

Can you train our team?

Yes. Every project ends with a handoff, documentation and training, and we can run extra sessions as your team grows or the tools change.

Tell us what's going on.

A few sentences is plenty. What does the business do, what's getting in the way, and what would you fix first if you could? You'll get a reply with questions or a next step, usually within 1 to 2 business days.
